VDA’s Maintenance Management services provide a holistic approach by offering complete support, expertise and oversight for portfolio’s of any size. Services within this discipline cover a wide array of options and focus primarily on customized maintenance specifications, contract oversight and fulfillment, and out-of-pocket cost mitigation. Our flagship program, CARETM, ensures the elevator contractor is meeting the obligations of their maintenance agreement and mitigates cost of invoices and unexpected proposals related to potential upgrades/repair.

Maintenance management Services
CARE™ and CARE Customer Portal


Provides expertise and oversight in consulting services as the client’s advocate while bolstering the contractor’s competence and understanding of contract requirements to ensure contract fulfillment. Services can include: reviewing the current maintenance contract, contractor service logs, invoices/proposals, testing schedule and repair deficiency compliance.

VDA will review, monitor and report on service key performance indicators (KPIs). In addition, VDA will provide analysis of any issues and corrective action recommendations, a regular cadence of contractor discussions, and client intelligence to vertical transportation solutions. VDA looks at the quality of maintenance being provided under contact versus settling on data alone.

CARE Customer Portal

Contractor Maintenance Performance Review

Supports the management of proactive maintenance tasking and respective cadence, repair timelines, callback reduction, and overall service performance targets. Typically, this service is used in combination with equipment evaluations and is most effective when a custom maintenance agreement/specification and deficiency tracking services are in place. This service can be stand-alone or included in the CARE Program.

Deficiency Tracking

Maintenance deficiencies identified in a VDA Equipment Evaluation are presented to the elevator contractor with specific timelines of expected completion. VDA coordinates with the contractor to ensure resolution of identified deficiencies. This service can be stand-alone or included in the CARE Program.

Maintenance Agreement/Technical Specification

VDA will write a customized technical specification that incorporates clearly defined maintenance services with easily measured performance targets. This specification can be written for an individual building’s elevator equipment or as a master service agreement that can support multiple buildings and an entire portfolio. In all cases, the specification is written for specific types of equipment and specific building operational requirements. A custom maintenance agreement protects the client by prioritizing the client’s needs rather than risk aversion received from the elevator contractor. It ensures equipment is properly maintained and requires the elevator contractor to perform at required levels of expertise and intervals of service, resulting in equipment that is safe and operating as designed. VDA’s CARE Program complements this service and is a highly recommended addition to help maintain the integrity of the contract.

Repair/Upgrade Specification

A repair/upgrade specification is needed when “major” repairs and/or “major” upgrades that fall short of a complete control modernization. It is essential to clearly define equipment functionality, specific components affected, and component compatibility, and in all cases, to align costs with market value. “Major repairs” typically prevail outside of an existing maintenance agreement’s coverage and are caused by “acts of God” or uncontrollable circumstances like floods, earthquakes, power fluctuations, or loss.”Major upgrades” are typically planned expenditures that are deemed necessary to enhance equipment’s overall sustainability and can include door operator packages, cab interior and fixture upgrades.

Maintenance RFP Issuance

This process qualifies appropriate contractors who are technically competent and have the bandwidth to maintain the elevator equipment in need. VDA will prepare a Request for Proposal (RFP) that clearly outlines the bid activity requirements, pricing components, and qualifications as they relate to maintaining the equipment in question.

Maintenance RFP Bid Analysis

As the bids are returned, VDA will compare project costs and noted qualifications or exceptions taken from the contract documents. VDA will prepare a clear, concise document for the client showing the individual contractor’s bid results. We conduct appropriate interviews with the relevant contractors in order to ensure understanding of the contract document and compliance. Finally, we provide the client with a recommendation for the best path forward.

Unplanned Repair Management

This service helps our clients in unplanned circumstances, such as water or fire damage or other unexpected incidents. Typically, we coordinate review efforts with the elevator contractor to determine the best solution for the client. VDA will evaluate the extent of the damage, work with the contractor to ensure repair proposals are accurate and align with expected costs, in addition to managing through the repair.

General Consulting Retainer

VDA works as the client’s in-house elevator expert, providing continuous support and an “open door” policy. This service is comprehensive in nature and custom in scope; however, it does not include the writing of any document or other requests that require travel or time spent outside of the negotiated agreement at hand.

Legal/Expert Witness

With our expertise in the industry, we are often asked to provide support in situations where accidents have created potential personal injury or harm. These services typically involve legal proceedings or depositions.
